Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and ll not be an employee of Microsoft.


Summary:

This position provides comprehensive administrative and operational support to senior leadership within a dynamic, program management-focused organization. The successful candidate will serve as a trusted partner to executive leadership, managing complex schedules, coordinating intricate travel arrangements, and overseeing critical business operations including budget tracking and headcount management. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced environment where priorities shift rapidly. The position demands a proactive approach to problem-solving, strong attention to detail, and the ability to build effective relationships across all organizational levels while maintaining the highest standards of professionalism and confidentiality.


Job Responsibilities:

  • Manage complex executive-level calendars with multiple competing priorities and time-sensitive commitments

  • Coordinate comprehensive domestic and international travel arrangements including flights, accommodations, ground transportation, and detailed itineraries

  • Process and submit business expense reports accurately and in a timely manner

  • Track and manage departmental budget allocations and expenditures

  • Maintain accurate headcount tracking and management systems for the organization

  • Coordinate meetings, offsites, and team morale events from planning through execution

  • Manage onboarding and offboarding processes for new and departing team members

  • Procure goods and services including computer equipment, office supplies, and other business necessities

  • Oversee space management and coordinate with facilities for onsite needs

  • Manage vendor relationships and serve as primary point of contact for service providers

  • Provide general office support and serve as the primary departmental contact

  • Complete special projects and ad hoc assignments as directed by leadership


Requirements:

  • 4-5 years of experience providing administrative support to senior executives at the VP or CVP level

  • 3-4 years of experience managing headcount tracking and budget oversight

  • 4+ years of experience in team support and customer service roles

  • Proven track record supporting senior leadership in complex organizational environments

  • Active passport required

  • Citizenship attestation required

  • Advanced calendar management for senior executives with ability to prioritize and resolve scheduling conflicts

  • Expert-level travel coordination including complex international itineraries

  • Strong budget tracking and financial management capabilities

  • Proficiency in headcount tracking and workforce planning tools

  • Exceptional organizational and time management abilities

  • Outstanding written and verbal communication skills

  • High degree of discretion and ability to handle confidential information

  • Proactive problem-solving and critical thinking skills

  • Strong customer service orientation and interpersonal skills

  • Ability to work independently with minimal supervision

  • Flexibility and adaptability in a fast-paced, changing environment

  • Strong attention to detail and accuracy


Additional Details:

  • Location: Redmond, WA (Hybrid: 2-3 days onsite)

  • Duration: 3 months

  • Pay Range*: $25 - $28.50 per hour

  • Weekly Schedule: 40 hours

  • Job Status: Non-Exempt
