Pay: $20.00 – $25.00 per hour (based on experience)
Schedule: 15–25 hours per week (12:30-4:30)
Location: In-person
Season: April 1 – October 31
Training: Immediate

Job Overview

We are seeking a highly organized and proactive Customer Service Administrative Assistant to support daily operations for two closely related service-based companies operating side by side.

This role serves as a central communication hub between ownership, office staff, field technicians, and customers, helping ensure that daily schedules run smoothly and that customer communication remains prompt and organized.

This position is ideal for someone who enjoys working in a fast-paced, team-oriented environment and takes pride in bringing structure, clarity, and efficiency to daily operations.

Schedule

This is a seasonal, part-time position.

Training will begin immediately.
During the busy season, the schedule will typically be:

Monday – Friday
12:30 PM – 4:30 PM
April 1 – October 31

Weekly hours may range from 15–25 hours depending on workload.

Key Responsibilities

Customer Service & Communication

  • Answer incoming phone calls and respond to customer emails
  • Schedule service appointments and update customer records
  • Communicate with technicians as they wrap up their day
  • Document technician notes and relay important information to the morning office team
  • Ensure timely follow-up with customers when needed

Office Operations

  • Close the office each day and ensure daily administrative tasks are completed
  • Prepare daily technician schedules and coordinate service routes
  • Maintain organized digital and physical filing systems
  • Review daily field service reports and confirm job documentation
  • Flag missing information or discrepancies for management

Team Coordination

  • Support communication between field staff and office operations
  • Ensure job notes, scheduling details, and updates are accurately recorded
  • Use CRM or scheduling software to manage service requests and documentation

Qualifications

Required

  • 2+ years of administrative, office, or customer service experience
  • Strong organizational skills and attention to detail
  • Experience using CRM or scheduling software
  • Proficiency with Microsoft Excel and basic office software
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Comfortable working in a service-based business with daily scheduling needs

Preferred

  • Experience in construction, pool service, irrigation, or home service industries
  • Experience supporting multiple departments or businesses
  • Experience working in seasonal or high-volume environments
