Administrative Assistant/Customer Service Representative

Job Overview:

We are seeking a friendly and professional Customer Service Representative to join our team. The ideal candidate will be the first point of contact for customers, providing information, resolving inquiries, and ensuring a positive customer experience. You will be responsible for managing phone calls, emails, and other customer interactions while maintaining an in-depth knowledge of our products and services, including bricks, blocks, stones, and other construction materials. This role requires excellent communication skills, attention to detail, and a passion for delivering exceptional service.

Key Responsibilities:

  • Customer Communication:
  • Handle inbound customer calls, emails, and inquiries with professionalism and courtesy.
  • Assist customers with product inquiries, order status, and delivery updates.
  • Provide accurate information about products, pricing, and availability.
  • Order Management:
  • Process customer orders and ensure they are accurately entered into the system.
  • Collaborate with the sales, dispatch, and logistics teams to confirm order details and delivery schedules.
  • Handle any changes, cancellations, or special requests from customers in a timely manner.
  • Issue Resolution:
  • Address and resolve customer complaints or issues, ensuring a satisfactory resolution.
  • Escalate complex problems to supervisors or other departments as needed.
  • Follow up with customers to ensure their concerns have been addressed and they are satisfied.
  • Documentation and Reporting:
  • Maintain accurate records of customer interactions, transactions, and inquiries.
  • Provide reports on common customer issues and feedback to help improve services and products.
  • Update customer profiles and contact information as needed.
  • Product Knowledge:
  • Stay up to date with the latest product offerings, industry trends, and company policies.
  • Educate customers on the best products and services to meet their needs.
  • Assist customers with navigating our website or catalog and finding the right materials for their projects.

Qualifications:

  • Proven experience in a customer service role (construction or logistics industry experience is a plus).
  • Excellent verbal and written communication skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to multitask and manage time efficiently in a fast-paced environment.
  • Proficiency with customer service software, phone systems, and basic computer applications (Microsoft Office, CRM systems).
  • Strong interpersonal skills with a customer-first attitude.

Preferred Qualifications:

  • Experience in construction, building materials, or related industries.
  • Familiarity with order processing and dispatch systems.
  • Bilingual (English/Spanish) is a plus.
