St. Andrew Health and Rehabilitation, a 45 bed SNF is looking for a reliable and detail-oriented Administrative Assistant to support daily operations at our skilled nursing facility. This role combines front-facing administrative support with responsibility for medical records management and daily deposit processing — making it ideal for someone who is organized, discreet, and comfortable wearing multiple hats.
- Greet and assist residents, families, and visitors at the front desk with a professional and welcoming demeanor
- Answer and route incoming calls, take messages, and respond to general inquiries
- Maintain and organize resident medical records in compliance with HIPAA and facility policies
- Process requests for medical record releases, ensuring proper authorization is obtained prior to disclosure
- Audit and file clinical documentation accurately and in a timely manner
- Prepare and reconcile daily bank deposits, ensuring accuracy and proper documentation
- Assist the Business Office with administrative tasks including filing, data entry, and correspondence
- Order and maintain office supplies and assist with general facility clerical needs
- Support other administrative functions as assigned by facility leadership
- High school diploma or GED required; Associate's degree or administrative certification a plus
- Prior experience in an administrative, medical records, or front desk role — long-term care or healthcare setting preferred
- Working knowledge of HIPAA regulations and medical records handling
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with EMR or records management systems a plus
- Strong attention to detail, organizational skills, and the ability to manage multiple priorities
- Professional and compassionate communication style — comfort interacting with residents, families, and clinical staff
- Ability to handle confidential information with integrity and discretion
- Bi-lingual, Spanish - English preferred
