We are seeking a proactive and detail-oriented Administrative Assistant to manage day-to-day administrative functions and support HR operations. The ideal candidate will ensure smooth office management, handle employee documentation, assist in recruitment, and maintain compliance with UAE labour laws.

Key Responsibilities:

Human Resources Responsibilities

  • Maintain and update employee records, contracts, and personnel files in compliance with UAE labour laws.
  • Assist in the recruitment process (posting job ads, screening CVs, scheduling interviews).
  • Coordinate onboarding and offboarding processes, including visa and Emirates ID applications/cancellations.
  • Manage attendance, leave records, and payroll support activities.
  • Prepare HR-related reports and maintain HR databases.
  • Support employee engagement, training, and performance review processes.
  • Liaise with PRO/government relations officer for visa, labour card, and other regulatory requirements.

Administrative Responsibilities

  • Oversee daily office operations, supplies, maintenance, and vendor management.
  • Apply gatepass / NOCs / Permits etc.
  • Manage correspondence, filing systems, and documentation (digital and physical).
  • Assist in preparing company letters, undertaking letters, memos, and official documents.
  • Ensure compliance with company policies, safety, and data protection procedures.
  • Handle petty cash, expense tracking, and basic accounting support when required.

Qualifications & Requirements

  • Bachelor’s degree in human resources, Business Administration, or related field.
  • 2–5 years of relevant experience in HR and Administration, preferably in the UAE.
  • Procurement background/experienced is an added advantage.
  • Familiarity with UAE Labour Law and HR best practices.
  • Experience handling PRO/government documentation is an advantage.

Skills:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Must be currently based in the UAE.
  • Ability to maintain confidentiality and handle sensitive information.
