Job Description
We are seeking a motivated and detail oriented Administrative Assistant to support the daily operations of a financial advisory practice with an independent franchisee of Ameriprise Financial. This role is essential to keeping the practice running smoothly and allows the advisor to focus on client acquisition and strengthening client relationships.Primary Responsibilities:
Administrative Support
Prepare business correspondence for advisor review and signature
Copy, track, and manage client and practice materials, including new business correspondence
Communicate and follow up with the Ameriprise home office on related matters
Schedule client meetings and prepare agendas, forms, and materials
Conduct client appointment reminder calls and follow‑up check‑ins
Coordinate, track, and assist with projects and ongoing business‑as‑usual tasks
Provide general office support including filing, copying, printing, and organizing
Assist other team members within the practice as needed
Client Care & Relationship Support
Greet clients warmly and extend exceptional hospitality
Document and track client communications
Maintain and update the client management system
Track client milestones and special events
Write client notes or letters and assist with client appreciation initiatives
Key Traits of a Successful Candidate
Strong computer proficiency and professional phone skills
Excellent communication skills with clients, advisors, and staff
Exceptional time management, organization, attention to detail, and multitasking abilities
Ability to adhere to firm policies, procedures, and regulatory requirements
Comfortable supporting and reinforcing compliance standards
Positive attitude and a genuine desire to learn, grow, and contribute to the practice
Education & Qualifications
High school diploma or higher required
Prior administrative or office experience preferred, but not required
Full-Time/Part-Time
