Administrative Assistant (HR, Procurement, & PR Focus)
Location: Riyadh, Saudi Arabia
Salary: SAR 14,000 per month

We are seeking a highly organized, proactive, and versatile Administrative Assistant to provide comprehensive support across our Human Resources (HR), Procurement, and Public Relations (PR) functions. The ideal candidate will be an excellent communicator and meticulous coordinator, ensuring the smooth and efficient operation of multiple administrative processes within our Riyadh office.
Key Responsibilities
Human Resources (HR) Administration
- Employee Documentation: Maintain and update all physical and electronic employee records, personnel files, and confidential HR documents, ensuring compliance with Saudi labor laws.
- Onboarding/Offboarding Support: Assist the HR team in preparing documentation for new hires (e.g., contracts, system access) and employee departures.
- Visa & Iqama Support: Coordinate with the relevant PRO and government relations teams to track, process, and follow up on visa, residence permit (Iqama), and other government documentation renewals for employees.
- Communication: Act as a central point of contact for employees regarding general HR inquiries, policies, and administrative requests (e.g., HR letters, vacation balance).
- Recruitment Support: Assist with scheduling interviews, coordinating communication with candidates, and managing recruitment files.
Procurement Support
- Purchase Requests (PRs): Process, track, and file all internal Purchase Request forms, ensuring they are complete and properly authorized before submission to the Procurement department.
- Vendor Coordination: Liaise with vendors and suppliers to request quotations, follow up on order status, and track delivery schedules for office supplies, equipment, and general services.
- Documentation: Maintain an organized system for all procurement-related documents, including vendor contracts, purchase orders (POs), and delivery notes.
- Invoice Processing: Assist in the verification of invoices against purchase orders and goods received, supporting the finance team with prompt payment processing.
Public Relations (PR) & Communication
- External Correspondence: Prepare and edit professional correspondence, presentations, and reports for external stakeholders, ensuring brand consistency and clarity.
- Media/Event Logistics: Provide administrative support for PR activities, including coordinating logistics for internal or external events, media gatherings, and corporate social responsibility (CSR) initiatives.
- Internal Communication: Assist in drafting and disseminating internal announcements, memos, and updates to employees, ensuring effective flow of information across departments.
- Stakeholder Management: Manage contact databases for key media contacts, partners, and external stakeholders.
General Administration & Office Support
- Executive Support: Manage the calendar, schedule meetings, and coordinate travel arrangements (flights, accommodation, visas) for assigned managers/executives.
- Office Management: Oversee the inventory and ordering of office supplies, manage incoming and outgoing mail/courier services, and ensure the smooth day-to-day operation of the office.
- Data Management: Accurately enter and manage data in various administrative systems and maintain a structured electronic and physical filing system.
Qualifications and Skills
- Experience: Proven minimum of 3 years of administrative experience, with demonstrated exposure to HR, Procurement, and Communication/PR support roles.
- Location Knowledge: Experience working in an office environment in Riyadh or the Kingdom of Saudi Arabia (KSA) is highly preferred.
- Language: Fluency in English (written and spoken) is essential. Professional proficiency in Arabic is a significant advantage.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with HRIS, ERP, or similar administrative/procurement software.
- Attributes: Exceptional organizational, time-management, and multi-tasking skills; strong attention to detail; and a high level of discretion in handling confidential information.
