Job Summary

The Department of Ophthalmology Services is preparing to hire both a Level I and a Level III Administrative Assistant to support the growing needs of the team. These roles will provide essential administrative and operational support, with responsibilities and qualifications tailored to each level. Below is an overview of the positions and key details for your review.

Administrative Assistant, I:

This is an entry-level administrative position supporting Ophthalmology providers in basic scheduling, travel, clinical operations, and processes management. They are responsible for greeting and assisting patients and team members, and can demonstrate excellent Guest Services skills. This position will also provide technical audio-visual, multi-media, and video support services for a variety of meetings, training sessions, and events, and will be able to demonstrate knowledge with multi-media equipment.

Administrative Assistant, III :

This position supports Ophthalmology providers and housestaff in scheduling, academics, travel, clinical operations, surgical schedules, and processes management. They are responsible for providing complex administrative support for the Vice Chair of Global and Community Outreach, and the Glaucoma Fellowship Director, and COPE program. This would include working closely with Ophthalmology Academics Division, organizing meetings and networking with community partners, and coordinating with clinical studies in Ophthalmology. This administrative assistant should be an excellent communicator, organized, and have experience with event coordination and is comfortable with Microsoft365, AI tools, and Epic.

Responsibilities

Administrative Assistant, I

  • Greets and assists patients and team as needed in Guest Services.

  • Supporting Ophthalmology providers, housestaff, and optometrists in scheduling, academics, travel, clinical operations and processes management.

  • Coordinates with community clinics and optometrists.

  • Assists and acts as backup coverage for audio/visual services, building event coordination and set-up, and Guest Services Desk.

  • Member of the administrative support team for cross- coverage, backup support, team building activities, group support and departmental support.

This is an Entry-Level position in the Support track.

Pay Range: $15.00 – $18.75

Administrative Assistant, III

  • Supporting Ophthalmology providers and housestaff in scheduling, academics, travel, clinical operations and processes management.

  • Coordinates with community outreach services and supports the Vice Chair of Community Outreach.

  • Acts as coordinator for provider schedules, meetings, fellowship rotations, performing advanced tasks with minimal supervision.

  • Member of the administrative support team for cross coverage, backup support, team building activities, group support and departmental support.

This is a Skilled Level position in the Support track.

Pay Range: $22.00 to $25.40

Minimum Qualifications

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Administrative Assistant, I: Requires little to no related experience.

Administrative Assistant, III : Requires 3+ years of related experience.

Preferences

Preferences for Administrative Assistant, I:

High school diploma or equivalency (one year of education can be substituted for two years of related work experience) required. One year full-time customer service experience or equivalency, demonstrated human relation and effective communication skills also required.

Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. Strong writing skills, communications skills and ability to organize complex projects with a high ability to multitask. Self-directed. Strong skills in decision making. Demonstrated computer, presentation software and A/V equipment skills.

Preferences for Administrative Assistant, III :

At least 2 years of experience in a medical setting, with basic knowledge of medical processes. Medical terminology. Strong writing skills, communications skills and ability to organize complex projects with a high ability to multitask. Self-directed. Strong skills in decision making. Skilled in event/meeting coordination and process management.
