ADVERTISING TITLE: ADMINISTRATIVE ASSISTANT II

This open competitive advertisement is for a Career Service position located at Lake Correctional Institution in Clermont, FL.

The mission of the Administrative Assistant II is to provide comprehensive administrative support to the Assistant Regional Director, ensuring efficient management of correspondence, calendars, and emergency operations. We strive to maintain organized systems and effective communication to support the overall goals of the department.

This position is not a telework position and is required to report to the FDC office in the area it serves.

JOB DUTIES:

  • Manage Correspondence and Documents: Prepare and handle all letters, reports, and documents for the Assistant Regional Director. Receive and distribute incoming mail and write replies that don't need the Director's personal attention.
  • Maintain Calendars and Travel Arrangements: Keep the Assistant Regional Director's calendar up to date, schedule appointments, arrange travel plans, and complete travel vouchers. Provide input on meetings, conferences, and training activities.
  • Track Reports and Documents: Use a tracking system to monitor due dates for various reports and documents. Ensure that the document distribution system is up to date.
  • Monitor and Distribute Information: Keep an eye on messages, reports, and other data received on the Corrections Data Center (CDC) network. Distribute information as needed and draft responses for approval and transmission.
  • Assist with Emergency Operations: Help update and maintain emergency plans and records. During emergencies, assist in the operation of the Emergency Operations Center by handling communications, tracking storms, posting charts, and maintaining logs.

BACKGROUND SCREENING REQUIREMENT

The Florida Department of Corrections requires all job applicants and volunteers to pass a Level 2 background check as per Chapter 435, Florida Statutes. This check must be completed before they can start working or volunteering.
