Administrative Assistant (Law Firm)

DSK Law (de Beaubien, Simmons, Knight, Mantzaris & Neal, LLP), a well-established Florida law firm founded in 1976, is seeking a Part-Time Legal/Administrative Assistant to join our Melbourne office.

This is an in-office position working Monday through Thursday, generally from 10:00 a.m. to 2:00 p.m. or 3:00 p.m. We are seeking a professional, detail-oriented individual who enjoys client interaction, administrative work, and supporting attorneys in a fast-paced legal environment.

Responsibilities

  • Conduct new client and prospective client intake.
  • Provide exceptional customer service to clients and visitors.
  • Schedule and coordinate meetings, closings, signings, depositions, hearings, and other appointments.
  • Prepare and organize electronic and physical client files.
  • Perform basic fact investigations and obtain public or official records.
  • Electronically file, record, and retrieve documents.
  • Draft and prepare legal and administrative documents, including deeds, notices, pleadings, correspondence, and discovery.
  • Assist attorneys and staff with special projects and administrative support.
  • Maintain confidentiality of client and firm information.
  • Perform other duties as assigned.
  • Periodic travel may be required.

Qualifications

  • Previous experience as a Legal Assistant, Administrative Assistant, Legal Secretary, Office Assistant, Receptionist, Client Intake Specialist, or similar role is preferred.
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and Adobe Acrobat.
  • Florida Notary Public commission preferred, or willingness to obtain a commission immediately upon hire.
  • Excellent customer service and interpersonal skills.
  • Strong written and verbal communication skills.
  • Exceptional organizational, planning, and follow-up abilities.
  • Ability to prioritize multiple assignments and meet deadlines.
  • High level of attention to detail and accuracy.
  • Self-starter who can work independently and efficiently.
  • Ability to quickly learn new systems and processes.
  • Valid driver's license and acceptable Motor Vehicle Report (MVR).

  • Part-Time
  • Monday through Thursday
  • Day Shift
  • No Weekends
