About The Opportunity
Our client, a leader in Technology/Cloud Solutions, is looking for a skilled
Administrative Assistant - Legal
to join their team for a 6+ month engagement. This project involves providing complex, highly confidential administrative support to several Vice Presidents within the Legal organization, requiring the highest level of discretion, independent judgment, and a proactive approach. This is a high-impact role that requires a self-motivated professional who can hit the ground running and deliver results quickly.
Key Responsibilities & Deliverables
This role is focused on the successful completion of specific tasks and deliverables. Your responsibilities will include:

Calendar Management: Managing several highly visible VP’s calendars, intuitively scheduling internal/external meetings, and proactively resolving conflicts.

Travel and Expenses: Arranging both domestic and international travel logistics (including visa/passport requirements) and creating expense reports within the required timeframe.

Procurement & Follow-Up: Creating purchase order requests, tracking, and following up on procurement processes to ensure timely completion of purchase orders and vendor invoices.

Team Meetings: Organizing monthly/quarterly all-hands and team meetings, coordinating presentation materials, guest speaker logistics, and managing A/V needs for hybrid and in-person attendance.

Internal Resource Management: Maintaining shared drives, folders, and internal documentation to ensure easy access to templates, policies, and reference materials for the global Legal team.
Required Skills & Experience:
We are looking for someone with a proven track record of successful contract engagements. The ideal candidate will have:

Minimum 5+ years of progressively responsible administrative support within a highly demanding, fast-paced environment.

Deep expertise in: Experience working in a law firm or corporate legal organization is required, and strong calendar management skills.

Demonstrated ability to work autonomously and manage your own time effectively to meet project goals, with exceptional professionalism, flexibility, and discretion when handling highly confidential and legally privileged information.

Experience with event planning and coordination, managing special projects, and utilizing an advanced level of MS Office Suite (Word, Excel, PowerPoint, Outlook) and Google Drive.

Exceptional communication skills (verbal and written) and ability to confidently engage with executives and internal/external customers to provide clear and concise status updates to the project team.
