Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant with prior work experience in the Dubai Multi Commodities Centre (DMCC). The ideal candidate will possess exceptional administrative skills, a thorough understanding of DMCC regulations and procedures, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:-
Office Management:

Maintain and organize office operations and procedures.

Manage office supplies inventory and place orders as necessary.

Coordinate maintenance and repair of office equipment.

Administrative Support:

Provide administrative support to senior management and other departments.
-
Schedule and coordinate meetings, appointments, and travel arrangements.

Prepare and edit correspondence, reports, and presentations.

Handle incoming and outgoing mail and packages.
-
Document Management:
- Prepare, review, and manage official documents, ensuring compliance with DMCC regulations.

DMCC Compliance:
- Handle all DMCC-related administrative tasks such as company registration, license renewals, visa processing, and other regulatory requirements.

Communication:

Serve as the first point of contact for clients and visitors.

Answer and direct phone calls and emails in a professional manner.

Assist in the preparation and distribution of internal communications.

Data Management:

Maintain and update company databases and records.
-
Ensure the accuracy and confidentiality of sensitive information.

Assist with data entry and management tasks as required.

Event Coordination:

Assist in planning and organizing company events, meetings, and conferences.

Coordinate logistics and manage event-related administrative tasks.

Miscellaneous:

Perform other duties and special projects as assigned.

Provide backup support to other administrative staff as needed.
Qualifications:-
Bachelor’s degree in Business Administration, Management, or a related field is preferred.

Minimum of 3-5 years of administrative experience, with at least 1-2 years in a similar role within the DMCC.

Strong understanding of DMCC regulations, procedures, and compliance requirements.

Familiarity with DMCC portal and online systems.

Experience in handling company documentation and processes specific to the DMCC.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); excellent organizational and multitasking abilities; strong written and verbal communication skills.

High level of professionalism, attention to detail, and ability to maintain confidentiality.
