Administrative Assistant Manager, U.S. Rebuild

Samaritan's Purse is seeking an Administrative Assistant Manager to join our team in North Wilkesboro, NC. You can be a part of a highly professional U.S Rebuild team. In this role, you will oversee the Field Office Managers at each rebuild site. You will provide administrative support to the Office Administration & Finance Manager. You will maintain a thorough knowledge of all Samaritans Purse projects and activities in order to respond to general inquiries. Come and use your gifts daily to advance the Gospel!

A day in the life of an Administrative Assistant Manager:

In the role of Administrative Assistant Manager, you will have the opportunity to:

  • Maintain your personal relationship with Jesus Christ and be an effective witness for Him.
  • Assist Director of Administration and Office Administration & Finance Manager with all administrative duties, including day-to-day schedule, scheduling meetings/preparing meeting agendas, and travel arrangements. Stay on top of, and respond to correspondence on their behalf, including letters and emails, approval requests, and meeting invitations.
  • Inform the Director of Administration and Office Administration & Finance Manager of pending issues and pertinent correspondence, especially while traveling; handle issues and follow-up as directed.
  • Supervise Field Office Managers to ensure consistent processes and guidelines according to Samaritans Purse policies and procedures.
  • Serve as the administrative backup for the Executive Assistant to the VP of U.S. Rebuild, as needed.
  • Designated IT Liaison for U.S. Rebuild, responsible for coordinating with IT departments to maintain asset inventory, troubleshoot technology issues, and manage equipment upgrades and repairs.
  • Manage IT Hardware and Wireless budget planning and submission.
  • Coordinate new hire onboarding for U.S. Rebuild employees, including workspace, IT hardware/software, security badges, etc.
  • Serve as Timesheet Ambassador for U.S. Rebuild; assist hourly / non-exempt U.S. Rebuild staff and Alaska staff with timesheet submissions, assist correcting timesheet errors and work closely with the HRSS Department to resolve timesheet issues.
  • Provide comprehensive, high-level administrative support for U.S. Rebuild projects, ensuring strict confidentiality in document management, e-filing, and project summaries.
  • Submit, track, and manage creative and production requests through Podio for marketing collateral, digital assets, and branded merchandise.
  • Handle sensitive and/or privileged information discreetly and ensure that such information including classified files, are properly secured.
  • Assist Rebuild teams with travel arrangements, as needed.
  • All other duties as assigned

Qualifications & Experience:

  • Associates degree (A.A.) or equivalent from two-year college or technical school; and three (3) to five (5) years related experience and/or training; or equivalent combination of education and experience.
  • Intermediate technology skills.
  • Strong attention to detail.
  • Highly effective communication and presentation skills.
  • Ability to create effective processes.
  • Ability to analyze, organize and prioritize work while meeting multiple deadlines.
  • Twelve credit hours of college-level Biblical Studies preferred, not required.
