Administrative Assistant/Office mgr. (Part-Time) Financial Services / Retirement Planning

We're seeking a dependable, detail-oriented Administrative Assistant/Office manager to support a busy financial services and retirement planning office. This role is ideal for someone who enjoys being organized, communicating professionally with clients, and keeping daily operations running smoothly. You'll assist with scheduling, client communications, document preparation, and office coordination while maintaining confidentiality and accuracy.
- 3–4 days per week
- 7 hours per day
- Hours: [ 9:00 AM–5:00 PM] 1 hr. lunch (set schedule with some flexibility as needed)
Salary Range: $13.00 per hour

Required Qualifications
- High school diploma or equivalent
- Strong attention to detail and ability to follow documented processes
- Professional communication skills (phone, email, and in-person)
- Comfortable with computers and office equipment (scanner, copier, printer)
- Ability to maintain confidentiality and handle sensitive information
Preferred Qualifications (Nice to Have)
- 1+ year administrative, receptionist, or office support experience
- Experience with Microsoft Office and/or Google Workspace
- Comfortable working with client records, forms, and compliance-minded processes
- Financial services, insurance, banking, or professional office experience a plus
- Efficient typing

Key Responsibilities
- Greet clients and provide professional, welcoming in-office experience
- Answer phones, manage email communication, and route requests appropriately
- Schedule appointments, manage calendars, and send reminders/follow-ups
- Prepare, organize, scan, and file client documents (digital and paper)
- Support meeting preparation (packets, forms, notes, basic follow-up tasks)
- Perform data entry and maintain accurate client records
- Assist with basic office tasks such as supply ordering and general organization
- Help track workflow items, deadlines, and outstanding client requests
- Handle sensitive client information with discretion and professionalism
- Other administrative duties as assigned
