Responsibilities
- Greet visitors and manage front desk duties with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly, directing calls efficiently and courteously while maintaining excellent phone etiquette.
- Manage calendar scheduling, appointments, and meeting arrangements using Google Workspace or Microsoft Office tools.
- Oversee office supplies inventory, place orders as needed, and maintain organized filing systems both physically and digitally.
- Perform data entry, bookkeeping using QuickBooks, and basic bookkeeping tasks to support financial accuracy. Efficient QuickBooks experience is required.
- Coordinate office management activities including maintaining cleanliness, safety protocols, and ensuring all equipment functions properly.
- Provide customer support by addressing inquiries via email or phone with clarity and professionalism; assist with clerical tasks such as proofreading, document preparation, and filing.
- Support personal assistant duties such as calendar management for executives or team members as required.
- Maintain confidentiality of sensitive information while demonstrating strong organizational skills and time management.
Experience
- Prior office experience or clerical experience is highly preferred; familiarity with office management tasks is essential.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software is required.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Strong typing skills along with attention to detail for proofreading documents accurately.
- Bilingual abilities are desirable to better serve diverse clients and team members but not required.
