The Administrative Assistant provides administrative, operational, and organizational support to DPS executive management. This role requires exceptional professionalism, discretion, and the ability to manage complex priorities in a fast-paced, executive environment. The successful candidate will serve as a trusted partner, enabling effective leadership, streamlined operations, and strong support across the organization.
Key Responsibilities
Executive & Administrative Support

Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements

Serve as the primary point of contact for internal and external stakeholders on behalf of executive leadership

Prepare, proofread, and format executive-level correspondence, presentations, reports, and briefing materials

Manage expense reports, invoices, and administrative documentation in accordance with company policies
Operational & Organizational Support

Coordinate cross-functional meetings, leadership reviews, and client-related engagements

Track action items, deadlines, and follow-ups to ensure timely execution of priorities

Assist in the planning and coordination of department initiatives, projects, and events

Maintain organized electronic and physical filing systems, ensuring confidentiality and data integrity
Client Engagement Support

Support client-facing activities by coordinating meetings, materials, and communications

Assist with preparation of client presentations, proposals, and engagement documentation

Act with professionalism and discretion when handling sensitive client and business information
Communication & Collaboration

Draft and distribute internal communications on behalf of the SVP as needed

Partner closely with other executive assistants, leadership team members, and key stakeholders

Anticipate executive needs and proactively resolve administrative or operational challenges
