Administrative Assistant (Part-time)

Part time position (Tuesday-Friday: 12pm-6pm; Occasional Saturdays 9am-3pm)

Create and maintain computer based filing and organization systems for records, reports, documents, etc. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Enter and locate work-related information using computers and/or point of sale systems. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Enter and retrieve information contained in computer databases using a computer to update records, billing, files, and answer inquiries from clients.

Support with insurance billing. Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address client service needs.

Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships to reach common goals, and listen and respond appropriately to the concerns of other employees and clients. Perform other reasonable job duties as requested by Supervisors.

Your Skills and Experience:

  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain efficient filing and record-keeping systems.
  • Communication Skills: Strong verbal and written communication skills are essential for interacting with clients, healthcare providers, and team members.
  • Interpersonal Skills: Ability to build rapport with clients and staff, demonstrating empathy and sensitivity, especially in a mental health setting.
  • Attention to Detail: Precision in handling paperwork, scheduling appointments, and maintaining accurate records is critical.
  • Technical Proficiency: Familiarity with office software (e.g., Microsoft Office Suite), electronic health record (EHR) systems, and other relevant software used in healthcare settings.
  • Confidentiality and Ethical Standards: Understanding and adherence to laws and regulations regarding patient confidentiality (e.g., HIPAA in the U.S.).
  • Problem-Solving Skills: Ability to address issues as they arise and think critically to find solutions.
  • Time Management: Efficiently managing time to meet deadlines and manage a busy workload.
  • Administrative Experience: Previous experience in an administrative role, preferably in healthcare, helps in understanding the environment and specific challenges.
  • Familiarity with Mental Health Settings: Experience working in a mental health facility or with mental health professionals is beneficial, providing insight into the specific needs of the population.
  • Customer Service Experience: Experience in roles that require direct interaction with clients or patients, ensuring that the candidate is comfortable in a front-line position.
  • Basic Knowledge of Mental Health: Understanding common mental health issues and basic terminology can be helpful in facilitating communication and support.
  • Training in Office Software: Prior training or certification in relevant software applications and EHR systems is advantageous.

Status: Part time, IN PERSON

Salary & Compensation: $16- $18 an hour

Location: On Site.

Schedule: Tuesday-Friday; Ocassional Saturday

Job Type: Part-time

Pay: $17.00 - $18.00 per hour
