Job Summary
We are seeking a professional and organized part-time Administrative Assistant to support a team of two Financial Advisors. The ideal candidate will be detail-oriented, possess excellent multitasking skills and be comfortable working with Microsoft 365 and learning new software programs as needed.
Responsibilities
- Manage new account openings, transfers, and maintenance for investment advisory accounts.
- Ensure a smooth onboarding experience for new clients.
- Process paperwork accurately and in a timely manner.
- Maintain digital files and notes for clients and prospects in RedTail (Client Relationship Management system).
- Handle client servicing requests such as address changes, beneficiary updates, etc. relative to insurance and investment accounts.
- Maintain confidentiality in handling client financial information.
Qualifications
- Manage new account openings, transfers, and maintenance for investment advisory accounts.
- Previous administrative experience in a professional setting required.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Professional demeanor with strong interpersonal skills.
- Proficiency with Microsoft 365 (Outlook, Word, Excel).
- Prior experience working with a CRM would be helpful.
- Experience in financial services, insurance, or wealth management preferred.
- Previous experience working with a multi-cultural client base would be a plus to enhance communication with diverse clientele.
- Able to pass a criminal history and credit background check including fingerprints.
Schedule
- Part-time
- Flexible hours to be discussed (approximately 20 hours per week)
- Monday-Friday four hours per day or Monday-Thursday five hours per day
Compensation
- Hourly pay based on prior experience ranging between $22/hour - $26/hour
- Paid bi-monthly
- Paid time off accrues with time
Pay: $22.00 - $26.00 per hour
