Administrative Assistant| Raleigh NC.
RPM AV Services, Inc. (RPM-AVS) is seeking a responsible and organized Administrative Assistant to perform a variety of administrative and clerical tasks in support of daily office operations. This role is essential to ensuring the smooth and efficient day-to-day function of our office by supporting managers, employees, and company-wide administrative activities.
The ideal candidate will possess excellent written and verbal communication skills, strong organizational abilities, and the ability to manage multiple priorities using tools such as Microsoft Office and standard office equipment. Previous experience as an Administrative Assistant, Secretary, or Executive Assistant is preferred, particularly within the audiovisual, construction, or service industries.
Key Responsibilities
- Answer and direct incoming phone calls in a professional manner
- Maintain and update contact records within the company CRM system
- Provide administrative support to upper management and internal departments
- Assist the Estimation Department with setting up and processing quotes as needed
- Perform filing duties, including scanning and maintaining digital records
- Monitor daily reports, identify missing documentation, and follow up to ensure completion
- Track and report fleet vehicle fuel consumption
- Assist with general Human Resources administrative functions
- Process new hire paperwork, onboarding documentation, and employee records
- Coordinate local deliveries and shipments, with technician assistance when necessary
- Recommend and support streamlined administrative processes to improve efficiency
- Cross-train with other administrative team members to provide coverage during PTO or high-volume periods
Required Qualifications
- Proficiency with Microsoft Office products and general computer literacy
- Ability to pass government and civilian background checks and drug screening
- Valid driver’s license with a clean and safe driving record
- Reliable transportation
- Strong verbal and written communication skills
- Excellent attention to detail and organizational skills
- Effective time management abilities
- Friendly, flexible, and approachable demeanor
Preferred Qualifications
- Accounting or QuickBooks experience
- General Human Resources knowledge and administrative experience
- Previous experience in an administrative support role within a related industry
Background Check Requirements
Per RPM AVS background check policy, all final candidates will be required to consent to a criminal background investigation.
Background screening may include:
- Standard criminal background check

- DMV/driving record review
Final candidates may be asked to disclose criminal history during the screening process and prior to a conditional offer of employment. Applicants with disqualifying criminal history confirmed through screening may be deemed ineligible for employment.
