Administrative Assistant - Psychiatry

Description

The Semel Institute is seeking a highly organized Administrative Assistant to provide administrative and clinical support to faculty, staff, and administrators within the Child and Adolescent Division of Psychiatry. This role supports daily operations by coordinating meetings and events, managing schedules, preparing correspondence and university/hospital forms, answering phones, and utilizing standard office systems.

Responsibilities also include registering and scheduling private patients, maintaining patient files, coordinating clinical visits, and organizing the bi-annual Autism Diagnostic Observation Schedule (ADOS) training, including advertising, registration, purchasing materials, and volunteer coordination. This position plays a key role in ensuring smooth, efficient, and patient-centered operations in a fast-paced academic clinical environment.

Hourly range: $30.36-$43.49

Qualifications

Required:

  • Bachelor’s degree in psychology, neuroscience, human development, or a related behavioral science field, and or equivalent combination of education & experience
  • Strong organizational and project-management skills, including the ability to track action items, maintain documentation, and prioritize competing tasks
  • Strong written and verbal communication skills, with the ability to interact professionally with families, clinicians, trainees, and external partners
  • High attention to detail and accuracy across administrative, scheduling, and data-related responsibilities
  • Ability to work independently while also collaborating effectively with research staff, postdoctoral fellows, graduate students, and administrative teams
  • Demonstrated ability to maintain confidentiality and handle sensitive information in compliance with HIPAA and institutional policies
  • Technical proficiency with Excel and/or Google Sheets
  • Familiarity with research data platforms such as REDCap or Qualtrics
  • 1+ years’ experience in a clinical, medical, or research setting involving patient coordination, administrative support, or study support
  • 1+ years’ experience demonstrated ability to manage multiple tasks, deadlines, and communications in a high-volume environment.

Preferred:

  • Exposure to basic data cleaning or statistical software (e.g., R, SPSS, Jamovi)
  • 1+ years’ experience using clinical or scheduling systems (e.g., EMR platforms such as CareConnect, scheduling or registration systems).
  • 1+ years’ experience working with autistic i, or with autism-focused research or clinical programs.
  • 1+ years’ experience supporting faculty or senior staff with calendar management, meeting coordination, or multi-step project workflows
  • Coursework or exposure to autism and neurodevelopmental disorders
