As spring semester changes to summer semester, two of the three front-desk administrative assistant /receptionist positions at our office have become available. Historically these positions are held by current or recently graduated college students on a pre-dental track. Two or three days a week coordinated with their class/DAT-study schedules. There are typically morning or afternoon 6-8 hour shifts shared between two front desk admin team-members who coordinate with each other for coverage, or the option for whole 10 hour day ("double" ) if desired. We are a one-dentist private practice in Buckhead (Atlanta, 30305) that is located within a modern, well-equipped single-level, ground-floor suite on Piedmont Road just south of the Peachtree Street intersection. The position can be qualified with 1-3 years front office experience , however as stated for the right pre-dental student candidate we would be willing to train someone with no dental office experience but previous non-dental client-facing or non-dental front-desk/reception experience. Historically: Laura came to us with no dental experience at all but became at whiz at the front desk with our guidance. Shaylen and Nikki are pre-dental graduates from Kennesaw State Univ and Clemson Univ, respectively, in their gap years and excelled at the position. Jennifer is a rising senior at Georgia Tech and balanced shifts here among her classwork and organization leadership. Presently our Mondays/Thursdays need most coverage but this is variable as the semester changes, so not a dealbreaker.

About Us: One-dentist private practice in Buckhead. Dentist is MCG Augusta grad, class of '03, with additional hospital residency (GPR) at Truman Medical Center/Univ. Missouri Kansas City. Our practice provides general dentistry, digital radiography, dental hygiene appointments, surgically places and restores dental implants, uses up-to-date restorations such as all-ceramic-crowns and well-designed eMax onlays. He's a stickler for closed margins, well-sealed-composites, and restorations that really look and feel like teeth.
Practice is PPO/self-insured mix with no Medicaid, no capitation, nor HMO. We have team-members who travel in from Stockbridge, Alpharetta, Canton, Columbus, Warner Robins, and not too long ago from Social Circle and even North Carolina.
Scheduling and billing is on computer practice management software called Easy Dental, very similar to Dentrix because both have same software manufacturer. Digital radiographs are on Kodak/Carestream system.
Dentist was once employed with Walt Disney World, Vail & Associates, and Park City Mountain Resort in his previous life before dental school (laughing, but true) and this influences the practice's daily goal to provide a positive, warm, engaging patient experience.
Courtesy and respect to patients is important, particularly to the older-than-you patients where "Yes m'am", "No sir", and Mr./Mrs. Last Name is used until the patient directs otherwise. A well-spoken assistant and front desk team member knows that "Yeah" and "Uh-huh" are considered unprofessional communication.
Responsibilities
Keeping the schedule full and being courteous to patients in person and on the phone is the main objective. Insurance uploads are performed at end of day electronically. This is not a management position.
The voice of the person answering the phone at the front desk is the first impression our practice gives to a prospective patient, and at check-out is the parting impression given upon leaving. Prospective patients rarely are confidently excited about pursuing dental care (duh!) so there is little room to be anything that's not positive, encouraging, and inviting on the phone. If that resonates with you, then we should talk.
We know that the patient appearing in our chair is the REASON for our business day, rather than an inconvenient interruption in our business day. In short, we create an environment that instills patient-desire to be here rather than elsewhere.
Qualifications
The applicant ideally has experience at the entry-level position of a dental office (front desk greeter, telephone appointing, etc) who is now ready to take his/her responsibilities to the next level. For the right pre-dental student or recent graduate candidate we are willing to train.
About You: The ideal candidate has some experience with dental insurance and practice, 1-5 years ideally, but that's not set in stone. That part is teachable. Courtesy, warmth, hospitality, and a can-do attitude are the very important although more rare character traits we specifically seek. It is a client-facing-position, so owning professional attire/wardrobe/cosmetics and the ability to put yourself together to present well is important. Faded cotton clothes, denim, bulky athletic gear, casual shoes are not appropriate. We love our cell phones as much as the next person, but the ideal applicant needs to be able to survive with personal cell phone put away from the desk area. I have seen that Dental team-members with prior work experience in retail or restaurant-server settings often provide an excellent mix of clinical-care and welcoming hospitality towards patients.
