Administrative Assistant / Receptionist with Opportunity to Grow

Small, boutique law firm focusing on credit union/banking law, commercial litigation, employment and construction law, real estate, and co-op/condominium matters seeks an outgoing, detail-oriented front-desk receptionist/administrative assistant. As the first point of contact for our clients and visitors, the ideal candidate will possess excellent verbal and written communication skills, a polished demeanor, and be able to work independently while efficiently managing multiple tasks. This role requires organizational skills, a proficiency in file management, attention to detail, and the ability to provide administrative support to the attorneys. If you are ambitious and willing to learn, you will also have the opportunity to gain real life experience as a legal assistant/paralegal, which could lead to more responsibility and an increase in salary in the future.

Responsibilities

  • Promptly answer and direct phone calls, while maintaining effective phone etiquette and message taking skills.
  • Open new files, close completed files, and organize/maintain the filing systems for both physical and electronic documents.
  • Monitor the supply room, order supplies, and ensure that the copy machine, postage meter, staplers, and other necessary office equipment are functioning properly.
  • Manage incoming and outgoing mail and prepare bulk mailings.
  • Proofread legal documents, including correspondence, complaints, answers, and motions (training available).
  • Make photocopies and assist with preparing court exhibits.
  • Perform clerical tasks and coordinate schedules, appointments, projects, and meetings for attorneys, if requested.

Experience

  • Familiarity with Microsoft Office and basic computer applications.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills with experience in a similar role at a law office or other professional setting.
  • Previous experience as a Legal Assistant/Paralegal and/or a solid understanding of legal terminology and procedures is a competitive advantage.
  • Knowledge of the Timeslips billing system is a plus.
