Job Overview
We are seeking a dynamic and organized Administrative Assistant-Receptionist to join our team. This role is vital in maintaining smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. This position offers an engaging work environment where organizational skills and attention to detail are highly valued.

Responsibilities

  • Greet visitors and clients with professionalism and courtesy at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Ensure reception and other common areas are tidy and presentable
  • Manage the scheduling of conference rooms
  • Maintain office supplies inventory and order as needed
  • Receive, sort and distribute daily mail/deliveries
  • Keep updated records of office expenses
  • Assist with accounts payable and receivables
  • Assist the office manager with day-to-day operations of the office

Skills

  • Proven experience in front desk reception and office management roles
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Bilingual abilities are a plus for communicating with diverse clients
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Experience with data entry, filing, proofreading, and general clerical work
