We’re looking for a highly organized, proactive Administrative Assistant with strong project management skills. Experience in real estate, lending, mortgages, or financial services is preferred but not required.

Position Overview:
As our Administrative Assistant, you’ll oversee the movement of active files and keep deals progressing efficiently from intake to closing. You’ll work closely with loan officers, processors, underwriters, transaction coordinators, and funding partners to ensure every transaction stays on track.
This is a remote, part-time position with opportunities for growth as the company expands.
Responsibilities:
* Manage and maintain the firm’s active deal pipeline
* Track the status of all files and identify outstanding items
* Coordinate communication between internal teams and external partners
* Assign follow-up tasks and ensure deadlines are met
* Keep CRM systems, spreadsheets, and project trackers updated
* Identify bottlenecks and escalate issues when necessary
* Assist with reporting, forecasting, and operational organization
* Support leadership with administrative and operational tasks
Qualifications:
* 2+ years of administrative, transaction coordination, or operations experience preferred
* Experience in real estate, mortgages, lending, or financial services is a plus
* Strong organizational and project management skills
* Ability to manage multiple priorities simultaneously
* Excellent written and verbal communication
* Detail-oriented with strong follow-through
* Comfortable using CRMs, Google Workspace/Microsoft Office, and Excel or Google Sheets
* Self-motivated and able to work independently in a remote environment
* Availability during U.S. business hours preferred
Compensation & Benefits:
* $2,000–$3,000 per month (based on experience)
