The Administrative Assistant provides support for Community Services programs including interacting with customers and purchasers, maintaining records, processing referrals, formulating and initiating billings.
**This position is located out of our Highfields Jackson Office.**
Education and Experience
- Minimum high school diploma. Associate degree in business management, organization, administration, or related fields or within 6 months of completion of such degree preferred.
- Minimum of three years related experience.
- Shall be a person of good character who possesses the health, emotional stability, maturity and strength to carry out assigned duties.
Minimum Qualifications
- Excellent communication, conversation, and listening skills.

Knowledge of and experience in Microsoft software.

Experience working with billings, and/or numbers.

Proficient in editing, writing, grammar, and punctuation.

Ability to show sensitivity to the service populations' cultural and socioeconomic characteristics.
Job Responsibilities
- Maintain records consistently on all referred clients in a manner that complete and in compliance with contractual and accreditation standards.
- Adhere to established time lines for report completion, including documenting date sensitive information.
- Share time lines with workers and their supervisor.
- Process referrals for all clients requesting services.
- Maintain files in a complete manner that meets or exceeds contractual and accreditation standards.
- Complete billings to their prescribed formats in a time efficient manner.
- Manage and maintain logs of services assuring they are collated and computed.
- Handle phone inquiries, questions about referrals, and direct interaction with customers in an enthusiastic and thorough manner.
- Answer questions, transfer messages, and connects customers with the appropriate Highfields agent to initiate services.
- Interact as a full member of the community services team offering ideas to improve systems used, and to enhance team functioning overall.
- Work on multiple projects at one time.
- Work independently and with little supervision.
