Organize, maintain, and archive physical and digital documents while ensuring accessibility when required.
Supporting end-to-end HR & GA procurement operations while ensuring compliance with company policies, procurement procedures, and internal control standards.
Enter and update information related to Human Resources and Administrative Affairs processes into internal systems accurately and timely.
Support internal and external departmental communication, including managing email correspondence and documentation processes.
Entering and tracking department-related invoices through internal systems and ensuring timely completion of approval and payment processes.
Coordinate and schedule interview plans throughout recruitment processes.
Assist and manage the executive managers calendars and meeting schedules.
Support administrative operations including office organization, office supply stock tracking, and necessary reporting activities.
Follow up on daily office administration tasks and ensure smooth coordination across departments.
Initiating and cancelling private health insurance policies.
Managing work permit procedures for foreign employees.
Coordinating travel, hotel, and meeting arrangements with travel agency, and ensuring employees stay within their allocated spending limits.
Regularly sharing the BT plans with HQ after receiving from department managers.
Managing company mobile line requests and handling line allocation and transfer procedures.
Qualification
Good command of English (both written and spoken)
Preferably at least 1 year of experience in a similar administrative or assistant position
Proficient in MS Office applications, especially Excel and Word
Strong written and verbal communication skills with the ability to work effectively in a team environment
Competent in planning, documentation, and time management
