Administrative Assistant to Executive Director - Athletics

EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Six years clerical or administrative experience

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Facilitate the efficient operation of the athletic administrative office and provide administrative assistance to the Executive Director for Athletics and other department members as necessary.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Handles phone and written communication.
2. Enters athletic schedules in scheduling software. Verifies and distributes all sports schedules.
3. Serves as Athletic department website editor/Web Master.
4. Maintains calendar and schedules appointments and meetings for Executive Director.
5. Makes travel arrangements for Executive Director and staff.
6. Processes sports officials pay forms.
7. Prepares request for payment for coaches tournament entry fees.
8. Processes travel expense requests for coaches/student travel.
9. Notifies officials, coaches, and administrators of all schedule changes.
10. Verifies supplemental pay for secondary coaches.
11. Rectifies and verifies stipend information for secondary coaches.
12. Prepares and distributes written correspondence for the Executive Director.
13. Communicates with coaches for the Executive Director.
14. Prepares and executes the ordering of equipment, furniture and supplies for the department.
15. Updates handbooks, policy manuals and other documents as assigned.
16. Performs routine bookkeeping tasks.
17. Monitors employee absences in Smart Find.
18. Monitors the work of athletic office administrative assistants.
19. Maintains confidentiality of information.
20. Occasionally required to drive personal vehicle in the performance of assigned tasks.
21. Reports to work on time every day.
22. Performs additional duties and responsibilities as my be assigned.

QUALIFICATION REQUIREMENTS:
• Proficient in the use of computer and various software programs
  • Excellent communication, organizational and interpersonal skills
  • Basic bookkeeping skills
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community
  • Ability to effectively present information to top management, public groups, and/or boards of directors
  • Ability to prioritize work and handle deadlines in a timely manner
  • Ability to type forty-five words per minute
  • Valid Texas Driver's License with driving record that meets the requirements of the District

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

WORK ENVIRONMENT:
The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
