Position Overview
We are seeking a dependable, detail-oriented, and resourceful Administrative Assistant to provide day-to-day administrative support to the COO. The Administrative Assistant will assist with scheduling, document preparation, communications, and general office operations, ensuring smooth and efficient functioning of the COO’s office.
Key Responsibilities
- Provide general administrative support to the COO, including scheduling appointments and meetings.
- Assist with select personal assistant duties as needed, including coordination of personal appointments, errands, and confidential matters.
- Prepare, edit, and format documents, reports, and presentations.
- Answer phone calls, take messages, and respond to basic inquiries.
- Coordinate and arrange travel logistics, including booking flights, hotels, and transportation.
- Assist in maintaining organized filing systems for both electronic and paper documents.
- Support project tracking and follow-up on assigned tasks and deadlines.
- Handle basic expense reports and invoice processing.
- Order and maintain office supplies for the COO’s office.
- Assist in coordinating company events, meetings, and special projects.
- Support the internal marketing team with scheduling, organizing promotional materials, coordinating campaigns, and assisting with internal communications initiatives.
- Maintain confidentiality of sensitive information.
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 2–4 years of administrative or office support experience.
- Strong organizational and multitasking skills.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- Professional demeanor and strong attention to detail.
