Administrative Assistant to the Dept. of Business Programs, IBI & MBI

This position provides administrative and project support to the Departments of Business and the International Business Institute (IBI). Responsibilities include budget oversight, event coordination, data and record management, website maintenance, travel arrangement, and a high volume of general support responsibilities.

This is a full-time position at 40 hours per week during the academic year and 120 total hours in the summer for IBI needs and department year-end finalization.


Responsibilities

Primary Duties:

1 .Provide general support for the Assistant Dean of Business’ undergraduate needs.
2. Provice the IBI director general support in areas like budgetary oversight, student registration, travel reservations, corporate visits, and student communication.
3. Project and event coordination for Messiah Business Institute.
4. Provide support for the Global Health & Development director with student registration and travel (local or international).
5. Provide point of contact for all general questions for the departments, including effectively interacting with visitors, faculty candidates, vendors, students, and other members of the public.
6. Project and event coordination for Department of Business Events
7. Provide support for the Impact Venture Challenge finale.
8. Maintain websites and social media accounts for programs.
9. Train and supervise student employees.
10. Maintain consistent and reliable attendance.

Secondary Duties:

Qualifications

Education Required: High school diploma or equivalent

Education Preferred: Associate’s degree preferred

Experience Required: Minimum 2-3 years of administrative support/secretarial experience

Skills and Characteristics Required for Position:

  • Effective communication skills including strong writing, editing, speaking, and comprehension skills; able to communicate successfully across departments and with multiple constituencies including external contacts
  • Strong organizational skills, including time management skills and the ability to prioritize multiple responsibilities
  • Strong computer proficiency including the ability to work independently in Banner ERP, Excel, Word and Outlook, as well as understand basic web design
  • Ability to work independently
  • Ability to effectively supervise additional support staff or work study students may be required.
  • Strong attention to detail and procedure
  • Ability to problem solve and see issues to their conclusion
  • Ability to maintain strict confidentiality and security
