ADMINISTRATIVE ASSISTANT TO THE PASTOR
OUR LADY OF GOOD COUNSEL PARISH, SOUTHAMPTON, PA

Employment type: Full Time (35-40 hours per week)
POSITION SUMMARY
The Administrative Assistant to the Pastor provides administrative, clerical and organizational support to the Pastor and the parish office. This position helps ensure the smooth operation of parish communications, records, scheduling and general office activities while maintaining confidentiality and demonstrating professionalism consistent with the mission and values of the Roman Catholic Church.
KEY RESPONSIBILITIES
Administrative Support
§ Manage (along with the Pastor) the parish calendar of activities.
§ Prepare correspondence, reports and other various parish communications.
§ Answer phones, respond to emails, and greet parishioners and visitors.
§ Maintain various parish office files and records.
Parish Communication
Sacramental Records
§ Maintain accurate sacramental registers (Baptism, First Communion, Confirmation, Marriage, Funeral).
§ Prepare sacrament certificates as needed/requested.
§ Assist with sacrament scheduling.
Office Management
§ Maintain office supplies.
§ Handle incoming mail
§ Oversee part time receptionists.
Additional responsibilities (as needed; can be learned “along the way”)
§ Familiarity with SCRIP office procedures.
§ Some familiarity with Finance office procedures (i.e., data entry, payroll, benefits)
§ Familiarity with Safe Environment procedures and filing methods.
QUALIFICATIONS
§ High School Diploma or equivalent
§ Experience as an administrative assistant, secretary or similar role preferred.
§ Proficiency in Microsoft Office, email and basic office technology.
§ Excellent written and verbal communication skills.
§ Strong organizational, communication, interpersonal and time-management skills.
§ Attention to detail and problem solving abilities.
§ Ability to multi-task and prioritize tasks.
§ Ability to maintain confidentiality and handle sensitive material.
§ Practicing Catholic
