Administrative Assistant to the Superintendent

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

  • Superintendent’s Secretary (screen phone calls, type letters, memos, schedule appointments, correspond with personnel, etc.) all other duties as assigned
  • School Board Secretary
  • Agenda prepared in BoardDocs/Diligent
  • Prepare and organizing board meeting meal
  • Attend regular and special board meetings; take minutes
  • Maintain board minutes and appropriate attachments as necessary
  • Report board member PD hours to state
  • School Election – legal ads to newspaper by deadlines, etc.
  • Submit yearly Financial Disclosure forms to county clerk
  • Attend student expulsion hearings
  • Coordinate distribution and collection of district-wide general disclosures (Beginning of school year)
  • Keep accurate home school records, and research (attendance and/or discipline history) when required
  • Record School Choice / Student Transfer requests and records; file legal transfers with the county clerk’s office.
  • Maintain certified files (licensure, test scores, evaluations, etc.) and classified staff files
  • Maintain original copies of current licensure for all licensed employees, and master list with each licensed staff’s certification codes, work in conjunction with District Coordinator
  • Maintain Job Descriptions for the district, revising as directed
  • Backup receptionist for central office when receptionist is unavailable. Includes greeting visitors and providing appropriate information and/or route to appropriate person; make and receive telephone calls, take messages, routes calls, sorting mail
  • Follow ethical and legal practices
  • Schedule and oversee in conjunction with superintendent/designee receptions, meetings, etc. for community and staff
  • Liaison to public to assist superintendent with public relations across the district and within the community of Lonoke
  • Assist in coordinating job forums for Lonoke High School in the fall and spring
  • Volunteer trainings and background checks for all volunteers on a three-year rotation
  • Familiar with school policies
  • Prepare FMLA documents, submit, and keep records for each employee
  • Complete FBI, state police and child maltreatment background checks for all classified and certified employees on a five-year rotation
  • Maintain confidentiality in all aspects and areas
  • Display professionalism in appearance, attitude, and actions
