The Administrative Assistant reports to the Executive Director of Development and provides administrative support to the Vice President for Development within University Advancement (UA). This role will interact daily with high-level external and internal constituents of UA, including the President’s Office, the Board of Trustees, the offices of senior administrators across the University, and principal donors, to provide seamless, high-end customer service. The Administrative Assistant also plays a critical support role in the cross-functional management of multiple Development teams that report into the Vice President’s Office.

Primary responsibilities include:

  • Developing and employing efficient work procedures to ensure smooth office operation, such as screening of incoming telephone calls and e-mails.
  • Assisting with scheduling appointments and meetings and managing the Vice President’s calendar for effective workflow.
  • Preparing and drafting correspondence, briefings, talking points, administrative memoranda, and reports.
  • Maintaining an effective electronic and paper filing system and other organizational systems as required.
  • Arranging travel for the Vice President, including preparation of detailed itineraries and coordinating with internal colleagues on briefing materials.
  • Assisting with entering and maintaining donor and prospect data into development databases and requesting or extracting data reports to address specific business needs.
  • Assisting with the creation and maintenance of onboarding and all Development-related materials to ensure standardized practices across Development teams.
    Assisting with the execution of internal-facing programs and events to maximize fundraising effectiveness.

Also involves extensive independent contact with volunteers, donors, University officers, administrators, and trustees, as well as their assistants, to arrange meetings and solicitation calls on the Vice President's behalf. Performs other related duties as required.

Applications will be reviewed on a rolling basis. The salary range for this position is listed below, with the final salary based on various factors, including the candidate’s qualifications, skills, competencies, experience, and internal equity considerations.

Full-Time Equivalent Hiring Range: $52,500 - $65,650. Salary is commensurate with relevant experience.


Requirements


This position requires a high school diploma, a bachelor’s degree preferred, and 3+ years of increasingly responsible administrative experience in a professional setting. Strong interpersonal and organizational skills with attention to detail and accuracy are required. Excellent oral and written communication skills, including effective phone communication skills, are also expected. The candidate must possess solid knowledge of grammar and punctuation.

Additionally, the candidate should have accurate typing skills, a working knowledge of Google Suite and Windows PC, including Microsoft Office, familiarity with Customer Relationship Management databases, exceptional proofreading, familiarity with Zoom Workplace, and be adept at handling multiple tasks and meeting deadlines.

Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision. Candidates should be highly motivated to work in a fast-paced environment and be flexible to work beyond regular workday hours when necessary.
