Position Overview:
We are seeking a highly organized and reliable Administrative & Executive Assistant to support daily operations and serve as a key point of contact within the organization. This role blends traditional administrative responsibilities with high-level executive support and client-facing duties. The ideal candidate is proactive, detail-oriented, and capable of managing a wide range of administrative and operational tasks with discretion and professionalism.
Key Responsibilities: Executive Support
- Serve as the right hand to the Executive Team: managing calendars, booking meetings, taking notes, and tracking action items.
- Handle confidential information and sensitive personnel matters with discretion.
- Support the CEO in daily operations, including communication, task follow-up, and documentation.
Administrative Duties
- Maintain and organize personnel files, onboarding paperwork, and HR-related documentation.
- Manage incoming mail and deliveries; sign for packages and distribute accordingly.
- Greet and assist visitors, vendors, and partners in a professional and friendly manner.
Client Intake & Front Desk Support
- Perform intake procedures for new clients, including form completion, ID verification, and initial data entry.
- Maintain a calm, welcoming presence at the front desk and ensure a smooth intake experience for incoming clients.
- Coordinate with clinical and administrative staff to ensure clients are transitioned smoothly into care.
Qualifications:
- 2+ years of experience in an administrative, executive assistant, or office manager role (healthcare or behavioral health experience a plus)
- Excellent verbal and written communication skills
- High attention to detail, accuracy, and confidentiality
- Strong proficiency with Google Workspace (Docs, Sheets, Calendar)
- Ability to manage multiple tasks efficiently and independently
- Professional demeanor and strong interpersonal skills

Pay: $26.00 - $33.00 per hour
