Westmoreland County Community College is seeking qualified applicants for an Administrative Assistant/Human Resources position. This position is responsible for providing administrative assistance and support to the Executive Director/Human Resources and to the Human Resources team.

Essential Job Functions
- Assist the Human Resources team with recruitment activities including communicating with applicants and new employees, scheduling interviews, scheduling conference rooms, conducting reference checks, tracking pre-employment requirements, and processing eligible candidate reimbursements.
- Review and process paperwork for new hires and employee retirements, resignations/terminations, etc.
- Maintain accurate employee data in College systems including ERP, ATS, and LMS.
- Submit required payroll information and authorizations promptly; ensure proper documentation is filed and maintained in personnel file
- Issue employee ID badges as needed.
- Prepare, track, and submit required reports including the Pennsylvania new hire report; data enter and track all employee clearances and provide regular updates to the Executive Director/Human Resources.
- Initiate and monitor the activation/deactivation processes to assign/terminate ERP user rights, College e-mail addresses, and office technology equipment.
- Assist with managing vacation accruals and personal/sick day allocations using the ERP system.
- Prepare, distribute, and monitor employee probationary and annual performance evaluations, escalating concerns as needed.
- Assist in the preparation of the annual notice of appointment for the WCCCPA and Administrative staff, newly hired employees, and summer contracts for WCCCPA employees.
- Update and maintain accurate seniority lists.
- Prepare reports and other information for the Board of Trustees meetings as requested.
- Assist the Executive Director/Human Resources with workflow including scheduling appointments and meetings, maintaining calendars, handling correspondence/mail, and preparation of documents and reports. Provide accurate communications regarding daily activities and the status of work assignments.
- Schedule and prepare meeting documents. Attend and record minutes/notes of meetings as required.
- Serve as Recording Secretary for the HR Governance Committee.
- Accurately prepare and process correspondence, documents, forms, and reports.
- Maintain an efficient, organized filing system.
- Provide general human resources office support and assistance to faculty, staff, and any other visitors. Expedite matters requiring attention to the appropriate personnel.
- Assist with the coordination of professional development activities, departmental events, and projects.
- Perform job duties in accordance with College policies and procedures; adhere to bargaining unit agreements as applicable.
Other Job Functions:
- Participate in departmental meetings, committees, work groups/teams, and professional organizations.
- Enhance professional knowledge by keeping current with emerging practices; monitor developing trends; integrate new technologies as applicable.
- Perform additional duties as assigned.
Job Requirements:
- Associate Degree in Human Resources Management, Business Management, or a closely related field required
- A minimum of two years of relevant work experience required, preferably in a Human Resources department
- Proficiency in Microsoft Word/Excel and Google suite products required
- General knowledge of employment laws and labor relations preferred
- Related work experience in higher education preferred
