Job Overview
We are seeking a dynamic and highly organized Administrative Assistant/Office Coordinator to join an Apparel Company in NYC. This entry level position is great for a recent College Graduate looking to move into the Fashion Apparel world!
This role is vital in ensuring the smooth operation of our office environment, providing exceptional support to staff and visitors, and managing daily administrative tasks with efficiency and professionalism. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to contribute to a positive and productive workplace atmosphere.
Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
- Manage multi-line phone systems, screen calls, and handle inquiries with professionalism and courtesy
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Plan office engagement events
- Coordinate catering and logistics
- Support onboarding with HR
- Coordinate calendar management, including scheduling meetings, appointments, and events for staff members
- Provide administrative support to the leadership team, and cross-functional teams, as needed
- Manage travel arrangements
- Prepare meeting materials and logistics
- Support ad hoc executive requests and special projects
- Oversee office supply inventory, place orders as needed, and ensure the office remains well-stocked and functional
- Provide customer support via phone or email, addressing questions or concerns promptly and effectively
- Assist with proofreading documents, preparing reports, and handling clerical duties such as copying, scanning, and mailing
- Obsessed with keeping the office space clean and organized
- Comfortable coordinating vendors and managing operational logistics
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Canva a plus!
- Strong organizational skills with the ability to prioritize tasks efficiently
- Excellent phone etiquette and customer service skills in a fast-paced environment
- Experience with office management procedures and clerical responsibilities
- Familiarity with multi-line phone systems and front desk operations
- Demonstrated computer literacy with data entry accuracy and attention to detail
- Effective time management skills to handle multiple responsibilities simultaneously
