We are looking for Administrative Assistant/Receptionist to join our team.
The successful candidate will handle general office duties, such as directing communications between colleagues and clients, entering data, bookkeeping, filing, and maintaining office equipment.
Responsibilities:

Manage the office petty cash.

Ensure timely order of all office supplies, stationary stock.

Ensure timely payments of all monthly bills for internet, systems, utilities, suppliers.

Manage Alliance Law renovation process & make sure to meet the firm's standards.
-
Coordinate with the relevant teams for any needed maintenance (laptops, desks, printers air conditions, plumbing and painting.
-
Handling the onboarding of lawyers and employees; laptop availability and setup, seating allocation, email signature, and business card.

Handles business meetings preparations (meeting room setup, catering).
-
Random check up on the lawyers’ offices.
-
Handles filling of Engagements & POAs.
-
Check the Firm's email and distribute it to the relevant parties.

Answers all phone calls and greets guests professionally.

Address Partners and Lawyers queries ; scan, photocopy, document typing.
IT Duties:

Report to the IT outsourced team any technical issues with server, internet, laptops & printers & follow up on their solutions.

Handling the firm’s laptops inventory.
Qualifications:

Bachelor’s degree.
-
Minimum of 3 to 4 years of experience.

Working knowledge of office equipment, like printers.

Proficiency in Microsoft Office.

Excellent time management skills and the ability to prioritize work.

Attention to details and problem-solving skills.

Excellent written and verbal communication skills.

Strong organizational skills with the ability to multi-task
