Administrative Assistant/Receptionist

We are seeking a highly organized and proactive Receptionist/Administrative Assistant to join our team. This role is essential for ensuring smooth office operations and providing exceptional customer service.

Responsibilities

  • Greet visitors and clients warmly, providing a positive first impression of the company.
  • Manage incoming calls efficiently, directing them to the appropriate personnel or taking messages as needed.
  • Perform Sales order through system, ensuring all information is up-to-date and well-organized.
  • Maintain filing systems, both electronic and paper-based, to ensure easy access to important documents like Sales order, packing list invoices.
  • Prepare /Schedule shipping documents.
  • Keep time of warehouse staffs and time reporting
  • Follow up with customer through email, phone for AR and send information from system
  • Assist with customer support inquiries, addressing concerns promptly and professionally.
  • Support office management tasks including inventory management of supplies and equipment.
  • Collaborate with team members to streamline administrative processes and enhance overall productivity.

Requirements

  • Proven experience as a receptionist or in an administrative role is preferred.
  • Proficient in using Google Suite applications (Docs, Sheets, Calendar).
  • Strong computer skills, Microsoft office software ( Outlook, Words, Excel, Power point) with the ability to learn new software quickly.
  • Excellent customer service skills with a friendly demeanor.
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail.
  • Strong organizational skills and the ability to manage time effectively.
  • Previous experience with phone systems and office management practices is advantageous.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
