Position Overview

We’re seeking a detail-oriented, professional Administrative Assistant / Front Office Coordinator to be the welcoming face and organizational hub of our practice. The ideal candidate is tech-savvy, highly organized, and excels at multitasking to support both our clinical and administrative workflows.

Key Responsibilities

- Greet and check in patients, ensuring a warm, professional first impression

- Manage appointment scheduling, confirmations, rescheduling, and cancellations

- Answer, screen, and direct incoming calls and emails efficiently

- Data entry: update electronic medical records, complete intake forms, maintain patient charts

- Process patient payments and assist with invoicing

- Maintain a neat and inviting front-desk and waiting area

- Support front and back office administrative tasks, such as filing, scanning, photocopying, and inventory

management

Qualifications

- Prefer a college graduate with strong academic performance

- Minimum 1–2 years of administrative or front desk experience, ideally in medical, aesthetics, or luxury service

settings

- Computer literate with fast typing skills; proficiency in Microsoft Word, Excel, EMR systems, and modern

scheduling platforms

- Excellent verbal and written communication, impeccable attention to detail, and strong time-management skills

- Friendly, polished, and able to thrive under pressure in a fast-paced environment

- Familiarity with HIPAA and professional confidentiality standards

Compensation & Benefits

- Hourly rate: $18–$23/hour, based on credentials and experience

- Full-time schedule: Monday through Friday, 8:00 am–5:30 pm
