Role Summary
We are looking for a sharp, organized Administrative & Billing Specialist to join our team in Hyattsville. This is a hybrid role designed for a professional who enjoys the variety of managing a front office while maintaining "eagle-eye" precision over our accounts receivable. You will be the face of our local operations and the engine behind our billing cycle.
Key ResponsibilitiesBilling & Financial Support
- Full-Cycle Invoicing: Prepare and send out accurate invoices; ensure all billable hours or products are accounted for.
- Collections & AR: Monitor the aging report and perform polite but persistent follow-ups on outstanding Hyattsville-area and regional accounts.
- Financial Integrity: Reconcile payments against bank statements and update [Software Name] daily.
- Reporting: Assist management with monthly financial snapshots and revenue tracking.
Administrative & Local Operations
- Office Hub Management: Serve as the primary point of contact for the Hyattsville office, managing local vendors, mail, and deliveries.
- Client Reception: Professionally handle incoming calls and greet clients or partners visiting the office.
- Operational Support: Organize digital and physical files, ensuring compliance with MD record-keeping standards.
- Meeting Logistics: Assist in coordinating local team meetings, including space prep and materials.
Required Skills & Qualifications
- Experience: 2+ years of administrative experience; 1+ year of billing or light bookkeeping.
- Location Knowledge: Familiarity with the Hyattsville/Prince George’s County business landscape is a plus.
- Software Proficiency: Advanced skills in Microsoft Excel and experience with e.g., QuickBooks.
- The "Switch": The ability to move seamlessly between a "client-facing" personality and a "deep-focus" billing mindset.
