Administrative Business Partner

About the Role

At Maleda, we partner with high-growth, product-driven companies to build and scale world-class teams and operations. We are seeking an Administrative Business Partner who is highly organized, proactive, and thrives in fast-paced environments.

This role goes beyond traditional administrative support, you will act as a strategic partner to senior leaders, helping optimize time, streamline operations, and ensure the team runs effectively. The ideal candidate is detail-oriented, resourceful, and able to anticipate needs before they arise.



What You'll Do

  • Manage complex calendars across multiple stakeholders, prioritizing competing demands with strong judgment
  • Coordinate domestic and international travel, including itineraries, logistics, and expense management
  • Plan and execute team meetings, offsites, and events (end-to-end logistics, agendas, and follow-ups)
  • Act as a liaison across cross-functional teams, ensuring clear communication and alignment
  • Support day-to-day operations of the team, including tracking priorities, action items, and deliverables
  • Prepare materials for meetings, including presentations, reports, and briefing documents
  • Handle sensitive and confidential information with discretion and professionalism
  • Identify opportunities to improve processes, increase efficiency, and reduce friction for the team
  • Assist with onboarding new team members and supporting team culture initiatives

What We're Looking For

  • 4+ years of experience supporting senior executives or teams in a fast-paced environment
  • Exceptional organizational and time management skills with strong attention to detail
  • Proven ability to manage multiple priorities and adapt quickly to changing needs
  • Strong communication skills, both written and verbal
  • High level of discretion and professionalism when handling confidential information
  • Proactive mindset with the ability to anticipate needs and solve problems independently
  • Experience working cross-functionally in dynamic, high-growth environments

Preferred Qualifications

  • Experience supporting senior leaders at a technology or marketplace company
  • Familiarity with tools such as Google Workspace, Slack, Zoom, and expense management platforms
  • Experience coordinating large-scale meetings or events
  • Background in operations, project coordination, or program support

Key Details

  • Start Date: May 2025
  • Duration: 12-month contract (potential for extension)
  • Location: US, remote
  • Work Schedule: Full-time, 40 hours per week, Monday-Friday
  • Pay Rate Range: $20-$30 per hour
