Position Overview

The Administrative Coordinator plays an important role in supporting the daily operations of the Minnesota Teamsters Service Bureau. This position provides organization wide administrative support and assists with maintaining accurate financial and program records.

This role is also responsible for serving as the primary point of contact for incoming calls. The Administrative Coordinator manages a high volume of phone inquiries from job seekers, participants, partners, and the public, ensuring callers receive accurate information and are directed to the appropriate staff or resources.

The Administrative Coordinator helps ensure the office operates efficiently by supporting staff, coordinating administrative processes, maintaining participant and organizational records, and assisting with accounts receivable and accounts payable data entry.

The ideal candidate is highly organized, detail oriented, comfortable managing multiple priorities, and able to communicate professionally while handling frequent phone interactions.

Key Responsibilities

Administrative and Organizational Support

  • Serve as the first point of contact for all incoming calls, managing a high volume of phone inquiries and directing callers to the appropriate staff, program, or resource.
  • Provide administrative support across the organization to ensure efficient daily operations.
  • Screen applicants for program eligibility and assist with intake documentation.
  • Maintain accurate program files, forms, and participant documentation.
  • Enter and maintain participant and organizational data in database systems.
  • Coordinate calendars, workshops, and meeting room reservations.
  • Maintain organized electronic and physical filing systems.
  • Order and track office supplies and maintain inventory.
  • Assist with meeting and event logistics including materials, meals, and deliveries.
  • Process incoming and outgoing mail and deliveries.
  • Assist with updating website content and organizational materials as needed.
  • Support staff with administrative needs and special projects as assigned by the Executive Director.

Financial and Data Entry Support

  • Enter invoices and supporting documentation for accounts payable processing.
  • Record incoming payments and maintain accurate accounts receivable records.
  • Maintain vendor and customer records in the accounting system.
  • Log deposits and maintain organized financial documentation.

Required Skills

  • Strong organizational skills and exceptional attention to detail.
  • Strong phone presence and ability to manage a high volume of calls while providing professional and helpful customer service.
  • Excellent communication and interpersonal abilities.
  • High level of integrity, discretion, and trustworthiness.
  • Ability to manage multiple priorities while maintaining strong attention to detail.

Qualifications

Required

  • Minimum of 3 years of administrative or clerical experience.
  • Proficiency in Microsoft Office Suite including Word, Outlook, Excel, and Teams.
  • Experience using office equipment such as copiers, scanners, and multi-line phone systems.

Preferred

  • Associate degree in business administration, accounting, or a related field.
  • Experience with Salesforce or other client management systems.
  • Experience with accounting systems and financial data entry.
  • Experience working in nonprofit, workforce development, or community-based organizations.
  • Proficiency with Wix & Canva.

Job Details

Type: Full time

Schedule: Monday through Friday, 8 hours per day

Salary: $49,920 to $54,080 annually depending on experience

Reporting Structure
