The The Haven of Transylvania County is hiring an Administrative Coordinator to help keep our shelters running and support individuals and families on their path from homelessness to housing.

Position Summary
The Administrative Coordinator supports the daily operations of The Haven by providing administrative, client-facing, and volunteer coordination support. This role works closely with the Executive Director to ensure smooth shelter and office operations, sch maintain accurate data systems, and support donor and community engagement efforts.

Key Responsibilities
- Shelter & Office Operations
- Greet visitors, answer phones, and respond to service inquiries
- Coordinate daily office operations, including screening potential guests and scheduling intakes
- Assist with emergency intakes as needed
- Maintain accurate and confidential client files
- Enter and maintain data in HMIS, ensuring data quality standards

- Monitor and order supplies; alert leadership to unusual spending patterns
- Maintain administrative, volunteer, and staff calendars Record and distribute staff meeting minutes; attend Board meetings as requested
- Coordinate classes, services, and outside providers for guests
Volunteer & Donor Coordination
- Recruit, orient, and schedule volunteers
- Enter donations into donor database and prepare acknowledgements
- Lead tours for donors, funders, volunteers, and community members
Administrative Support
- Maintain organized cloud-based files for receipts and financial records
- Assist with reconciliation tracking and flag outstanding expenses
- Support creation of flyers, donor communications, and event materials
- Represent The Haven at community meetings and outreach events
- Support grant administration, including requisitions and file maintenance
- Serve as database administrator
- Schedule meetings and appointments for leadership
Assist with fundraising events and community engagement efforts
QUALIFICATIONS
Required
- Associate or Bachelor’s degree preferred and/or 2+ years of experience in social services, office administration, or related field
- Knowledge of issues related to homelessness preferred
- Excellent written and verbal communication skills
- Strong computer proficiency (Microsoft Office, cloud-based systems, database/CRM entry)
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Friendly, professional, and adaptable demeanor
- Ability to work both independently and collaboratively
- Ability to respond professionally to phone, email, and in-person interactions
- Emotional resilience and ability to maintain professional boundaries while supporting individuals experiencing hardship
Preferred
- Experience in housing or human services
- Established relationships in Western North Carolina's philanthropic community
- Lived experience with homelessness, housing instability, or related challenges
