Administrative Coordinator

Job Summary
We are seeking a dynamic and highly organized Administrative Coordinator to join our team! In this pivotal role, you will serve as the backbone of our business operations, ensuring smooth daily functions and providing exceptional support across departments. Your energetic approach and attention to detail will help foster success as our fast-growing company evolves. Responsibilities (Complete training will be provided for all tasks below)

  • Manage client support by responding to support requests by email.
  • Advertiser support (including minor sales activities)
  • Website testing and design.
  • Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Sheets (including market data input, research input, etc..
  • Oversee office management tasks such as digital filing, proofreading documents, etc..
  • Book appointments using shared calendars.
  • Review, analyze and organize documents.
  • Coordinate personal assistant tasks such as travel arrangements or special project support when required.

Skills

  • Strong command of the English Language, verbal and written.
  • Knowledge and experience with ChatGPT, Gemini or Claude is mandatory.
  • Excellent reliability.
  • A dedication to accuracy.
  • Ability to take notes, learn once, and not make the same mistake twice.
  • Pride in arriving on time (every time) and meeting deadlines.
  • Proficiency in Google Sheets and Google Docs.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent email etiquette (ability to write polite, pleasant emails is key).
  • Exceptional customer service skills.
  • A friendly demeanor and professional communication style.
  • Strong computer literacy combined with good typing speed and accuracy.
  • Ability to handle sensitive information discreetly while maintaining high levels of confidentiality (a non-disclosure agreement is required).
  • A strategic thinker with 3- or 4-year college degree is preferred.

This is a role that can evolve into full-time after 12-18 months if desired. Management consists of a small, close-knit team dedicated to a positive culture and long-term growth.
