You are…

Our future Administrative Coordinator will possess the following qualifications and qualities –

  • Bachelor’s degree in Business Administration, Accounting or a related field.
  • 5+ years of experience in accounting firm or office management.
  • Proficiency in Microsoft Office applications, including Excel, Word, Outlook, OneNote, and Teams.
  • Experience with QuickBooks, including data entry and basic accounts payable (AP) and accounts receivable (AR) functions.
  • Unwavering integrity, personal accountability, and respect for confidentiality.
  • Self-motivated with exceptional organizational skills and the ability to manage multiple projects and deadlines effectively.
  • Strong communication skills, a collaborative mindset, and a willingness to both teach and learn.
  • Positive, professional, and client-service oriented.

The job…

As a member of B.A. Harris, you will –

  • Oversee front desk operations, supporting front-office staff to ensure consistent coverage and exceptional client service.
  • Manage a high-volume, multi-line phone system, communicating clearly and professionally with clients, vendors, and internal staff.
  • Maintain accurate and organized digital records, including financial documents, invoices, and other confidential information.
  • Assist with bookkeeping tasks using QuickBooks and handle basic office bookkeeping responsibilities.
  • Manage daily accounting operations, including AP and AR processes.
  • AP: Process vendor invoices, verify approvals, and oversee weekly payment cycles.
  • AR: Prepare and distribute client billings, post incoming payments, issue month-end statements, and monitor the Accounts Receivable Aging Report to ensure timely collections.
  • Support team members with special projects, research, and client communications as needed.
  • Continuously seek opportunities for professional growth and openly communicate your goals and development needs.
  • Bring a positive attitude, strong work ethic, and a willingness to help wherever needed.
