About the Role:

We are seeking a dynamic and highly organized Administrative & Dispatch Coordinator to support our office operations and grow into a dispatch leadership role on weekends.

This position works closely with the Director of Business Development and Lead Dispatcher, providing administrative support, coordinating customer communication, and ensuring smooth operations. Your proactive approach and excellent communication will help optimize our daily operations.

During the week, this role focuses on office and administrative support and answering line 2 and 3 incoming calls. Once trained, the role will also serve as the primary dispatcher on weekends, managing technician schedules, customer communications, and service workflows.

This is an ideal role for someone seeking hands-on experience in office operations, customer service, and scheduling within a growing plumbing services company.

KEY RESPONSIBILITIES:

Administrative:

  • Assist the Director of Business Development with day-to-day office tasks including marketing, payroll, accounts receivable, and high level HR operations.
  • Assist in creating and maintaining standard operating procedures for office operations.
  • Support vendor relationships and communications.
  • Assist with social media, web, and marketing campaigns.

Dispatching:

  • Assist the Lead Dispatcher with scheduling and route coordination on week days.
  • Serve as the primary dispatcher on weekends once trained.
  • Receive and prioritize service requests via phone, email, or online booking.
  • Schedule and dispatch technicians efficiently.
  • Communicate with customers regarding delays or schedule changes.
  • Ensure jobs are accurately tracked and documented.
  • Assist billing process for warranty and insurance clients.

Qualifications:

  • Highly organized and detail-oriented
  • Reliable and able to work independently on weekends
  • Enthusiastic and professional in customer and team interactions
  • Confident communicator with customers and team members across in-person, phone, and email interactions
  • Interest in learning operations, scheduling, and business workflows
  • Prior administrative, customer service, or dispatch experience preferred
  • Experience with multi-line phones, Google Workspace, and CRM software preferred

Compensation:

  • Hourly pay range between $19-$22, based on experience and qualifications
  • We offer a 4% 401k match
