Transportation Scheduler (NEMT)

Job Summary

PDQ Delivery LLC, a growing Non-Emergency Medical Transportation (NEMT) provider, is seeking a highly organized and proactive Transportation Scheduler to join our operations team. In this vital role, you will coordinate client transportation to and from medical appointments, manage driver schedules, and ensure seamless communication between drivers, healthcare facilities, and clients.

The ideal candidate is detail-oriented, tech-savy, calm under pressure, and passionate about delivering exceptional service in a fast-paced healthcare transportation environment. Your work will directly impact client satisfaction, on-time performance, and overall operational efficiency.

Duties & Responsibilities

  • Schedule and dispatch Non-Emergency Medical Transportation trips using routing and dispatch software.
  • Coordinate daily transportation schedules for 1099 contract drivers to ensure timely pickups and drop-offs.
  • Optimize driver routes to improve efficiency, reduce delays, and control fuel costs.
  • Communicate trip details clearly with drivers, including special mobility needs (wheelchair, stretcher, ambulatory).
  • Confirm next-day appointments with clients and healthcare facilities.
  • Monitor real-time trip activity and proactively resolve scheduling conflicts or service delays.
  • Maintain accurate trip logs, driver documentation, and client records.
  • Verify trip authorizations with brokers, insurance providers, or healthcare facilities as required.
  • Handle multi-line phone systems professionally while providing excellent customer service.
  • Respond to service concerns and escalate urgent issues to management when necessary.
  • Ensure compliance with company policies, HIPAA guidelines, and NEMT industry regulations.
  • Assist with reporting, data entry, and administrative support as needed.

Required Skills & Qualifications

  • Previous experience in scheduling, dispatching, logistics, or healthcare transportation preferred.
  • Strong organizational skills with the ability to manage multiple trips and drivers simultaneously.
  • Excellent communication and phone etiquette skills.
  • Ability to multitask in a fast-paced environment while maintaining attention to detail.
  • Proficiency in computer systems and scheduling/dispatch software.
  • Working knowledge of GPS systems and route optimization tools.
  • Basic understanding of HIPAA compliance and client confidentiality.
  • Strong problem-solving skills and ability to remain calm under pressure.
  • Dependable, punctual, and team-oriented.

Preferred Qualifications

  • Experience in Non-Emergency Medical Transportation (NEMT).
  • Familiarity with medical terminology or healthcare appointment coordination.
  • Bilingual abilities are a plus.
  • Experience working with transportation brokers or Medicaid transportation programs.
