A Dubai Hills-based private investor and entrepreneur is looking for an exceptional Executive Assistant to become the operational backbone of a fast-moving, multi-entity group.
The group comprises multiple trading companies, a property portfolio of approximately 25 assets across London and Dubai (primarily held through SPVs), and an active UK property development arm with five live projects. This is a rare opportunity to work directly with a principal at the centre of a diverse and growing business, with genuine variety, autonomy and responsibility from day one.
This is not a traditional PA role. You will be the principal's right hand — owning governance, chasing deadlines, managing systems and ensuring nothing slips across a complex group of businesses and properties.
Property Portfolio
- Oversee insurance, H&S compliance, maintenance, tenancy documentation and rental income tracking across ~25 properties in London and Dubai.
- Monitor all lending criteria and lender covenants across the mortgage book; flag anything that needs attention.
- Liaise with managing agents, solicitors, surveyors and lenders — in both the UK and UAE.
Property Development
- Track milestones, funding drawdowns and sales processes across five active UK development projects.
- Coordinate site meetings, manage action logs and keep all parties accountable to timelines.
Corporate Governance
- Ensure statutory deadlines are never missed across the group's companies — chasing accountants, tracking filings and escalating when needed.
- Maintain contracts, insurance and compliance registers; support board administration.
Financial & Banking Oversight
- Keep the bookkeeper accountable — weekly check-ins, deadline tracking, escalation where needed.
- Ensure Xero is correctly connected to all bank accounts across the group; monitor feeds and resolve any sync issues.
- Manage KYC, banking mandates and signatory records; liaise with relationship managers on admin matters.
Administration & Personal Support
- Manage correspondence and bills across all entities — log, triage, chase and ensure nothing is missed.
- Organise travel, research major purchases and handle diary management across UK and UAE time zones.
- Be the gatekeeper: suppliers, agents, advisers and counterparties all go through you first.
Who We're Looking For
Essential
- Proven EA or Chief of Staff experience supporting a business owner, HNW individual or senior executive.
- Experience managing a property portfolio or working in a property/development environment.
- Strong financial literacy — comfortable working with accountants, tracking obligations and spotting issues.
- Familiarity with Xero or similar accounting software, including bank feed management.
- Meticulous, proactive and highly organised — you close loops without being asked.
- Absolute discretion when handling confidential financial, legal and personal matters.
- Based in Dubai, with flexibility for UK travel and cross-timezone working.
Highly Desirable
- Knowledge of UK property regulations, and SPV structures.
- Experience with UK corporate governance and Companies House requirements.
- Exposure to development finance, lending documentation or lender compliance.
- Arabic language skills (advantageous but not required).
