Overview
We are seeking an Administrative & Finance Specialist to support our US operations, based in Dallas, Texas. This role has a strong focus on payroll processing and employee administration, while also supporting accounting activities such as financial entries, bank reconciliations, and corporate expense management.
This is a full-time, hands-on position ideal for someone detail-oriented, highly organized, and comfortable handling confidential information in a dynamic, operational environment.
Payroll & Employee Administration
- Process payroll for all employees, ensuring accuracy, timeliness, and compliance with applicable federal and state laws and regulations
- Maintain and update employee payroll records, ensuring confidentiality and data accuracy
- Review and validate timesheets, attendance records, and payroll inputs prior to processing
- Resolve payroll discrepancies and respond to employee inquiries regarding pay, deductions, taxes, and withholdings
- Coordinate with HR and Finance teams to process new hires, terminations, and payroll changes
- Assist with year-end payroll activities, including W-2 preparation and other required tax documents
Finance & Accounting Support
- Record and maintain financial transactions in Xero, ensuring accuracy and proper documentation
- Perform bank reconciliations and support monthly closing activities
- Manage and monitor corporate credit cards (Brex), including expense tracking and reconciliation
- Support expense tracking and basic financial controls
- Coordinate with internal teams and vendors for financial and administrative follow-ups
Administrative & Office Support
- Provide general administrative support to US-based employees
- Support onboarding and employee integration activities in coordination with HR
- Assist with office and operational requests, including logistics and internal initiatives
- Support team-related activities such as ordering company merchandise (e.g., t-shirts) and organizing materials
- Handle ad hoc administrative and operational tasks as needed
Qualifications & RequirementsRequired Qualifications
- High school diploma or equivalent required
- Associate or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
- Knowledge of US federal and state payroll regulations and compliance requirements
- Strong organizational skills and excellent attention to detail
- Ability to maintain confidentiality and handle sensitive information appropriately
- Proficiency in Microsoft Excel and other office software
Nice to Have
- Experience working with payroll or HR platforms (e.g., Gusto, ADP, Deel, Remote)
- Experience supporting US-based teams or multinational environments
- Experience with Xero accounting software
- Basic understanding of accounting or financial operations
Work Model
- Hybrid work model, based in Dallas, Texas
- Expected onsite presence 2 days per week
- Additional onsite presence may be required on a temporary or ad hoc basis, based on business needs
- Occasional travel may be required, as necessary to support business operations
Compensation & Employment Type
- Full-time position
- Annual salary of USD 50,400, based on experience and qualifications
- Paid on a monthly basis
