Miller Johnson, a rapidly growing Midwest law firm known for its entrepreneurial spirit, down‑to‑earth culture, and deep-rooted commitment to the communities we serve is looking for a Legal Administrative Assistant (LAA) to support our Medical Recovery Practice Group (MRG). As a Legal Administrative Assistant you will be a proactive case partner to timekeepers, owning the administrative workflow that supports the efficient delivery of legal services within the Practice Group. This role drives the day-to-day administrative coordination of client and matter activity ensuring deadlines are met, documentation is accurate, and operations run smoothly. The LAA serves as a central point of organization and follow-through consistently anticipating needs, managing competing priorities, and ensuring continuity of support for timekeepers.
Key Responsibilities and Essential Functions
- Coordinates calendars for assigned timekeepers, ensuring internal & external deadlines, court dates (e.g., hearings, depositions, mediations, trials, discovery deadlines) and key case milestones are accurately tracked and proactively managed.
- Monitors case progress across multiple litigation matters, helping ensure timely completion of filings, discovery, correspondence, and case-related deliverables.
- Partners with assigned timekeepers to prioritize workload, manage shifting deadlines, and respond to urgent or time-sensitive litigation matters.
- Inputs new complaints and matter data into MRG databases and systems accurately and promptly.
- Prepares, edits, proofreads, assembles, and electronically files legal documents and case-related correspondence (e.g., pleadings, discovery materials, subpoenas, exhibits, and court filings) with a high degree of accuracy and professionalism, including use of digital dictation and transcription tools as needed.
- Maintains organized electronic case files, including management of case materials, exhibits, and filing documentation, in accordance with Firm and court requirements.
- Serves as a professional point of contact for opposing counsel, courts, and internal stakeholders maintaining clear and responsive communication.
- Manages incoming and outgoing mail, travel arrangements, and other logistical support needs for assigned timekeepers.
- Actively participates in team-based coverage, ensuring continuity of support during absences or peak workload periods.
- Shares knowledge and supports process consistency across the legal support team and the MRG.
Education and Experience
- High school diploma or equivalent required
- Minimum of 2 years of administrative experience supporting multiple timekeepers (attorneys or paralegals), practice group/firm operations required
- Minimum 1 year of litigation experience required; healthcare and/or no-fault experience preferred
- Proficiency with state court filing systems, including MiFILE, required
- Proficiency in Microsoft Office Suites (including Outlook, Word, and Excel) required
- Proficiency in NetDocs or other document management systems required
- Proficiency with Literia NTD or other automated document formatting systems preferred

- Understands how legal support contributes to client service and matter outcomes. Anticipates needs and identifies opportunities to improve efficiency and workflow.
- Demonstrates working knowledge of district and circuit court filing procedures.
- Collaborates respectfully with team members, participates in coverage planning, and contributes to a supportive team environment.
