Position Overview

We are seeking a motivated and dependable Administrative & Marketing Assistant to support the practice owner in both daily operations and marketing efforts.

This is an entry-level, hybrid role ideal for someone who is organized, creative, and eager to gain hands-on experience in business operations, content creation, and community outreach. This position will function as a support role to the owner, helping keep both administrative and marketing initiatives running smoothly.

Key Responsibilities

Administrative Support

  • Manage scheduling, calendar coordination, and appointments for owner
  • Monitor and respond to emails in a timely and professional manner for owner doctor
  • Assist with invoicing, document organization, and general administrative tasks
  • Answer phone calls and support patient communication as needed towards grand opening

Marketing & Content Creation

  • Create and edit content using Canva (Adobe experience is a plus)
  • Organize traning week for staff
  • Coordinate with vendors and contractors
  • Assist with planning and maintaining a social media content calendar
  • Draft and schedule posts across platforms (Instagram, TikTok, etc.)
  • Support development of marketing materials and promotional content
  • Work as needed by owner

Community Outreach

  • Attend local networking events (e.g., Chamber of Commerce meetings)
  • Visit local businesses to introduce and promote the practice
  • Represent the brand professionally in the community

Project & Task Coordination

  • Assist in tracking tasks and keeping projects on schedule
  • Support general startup operations and day-to-day needs

Qualifications

  • Strong organizational and time management skills
  • Clear and professional communication skills
  • Comfortable using Canva; basic design skills preferred
  • Familiarity with social media platforms
  • Ability to take initiative and follow through on tasks
  • Reliable transportation for local outreach
  • Availability for occasional evening events

Preferred (Not Required)

  • Previous administrative, marketing, or customer service experience
  • Experience creating social media content
  • Interest in healthcare, dentistry, or small business environments
